Publishing Options
How to make items in your folder private, visible or public.
All items have a publishing status:
- A "private" item can only be viewed or edited by its Owner and the site Manager(s).
- A "visible" or "public draft" item shows up in the navigation box (upper left) only for those who have editing privileges for that item. However, visible items can be seen by other members and anonymous site visitors if they have the URL.
- A "published" item appears in the navigation box (upper left) for anyone who has access to the folder in which it is located.
- On this site, items do not need to be "submitted" for review. Members can publish pages in their own folders directly.
- The default status of all items is "visible."
publishing process
The publishing process affects the state of an item.
There are 2 ways to change an item's state:
From the Item View (that is, with the item in the browser, replacing the folder contents view):
- Click on the
statetab (above the folder contents window). This brings up a view of the page called "Publishing process".
- Scroll down and, below where it says, "Change State," click the
publishoption, or theprivateoption. Then press thesavebutton. - Use this same
statetab toretractan item that's been published, or change it from private to visible or published.
From the folder contents view:
- Use this to change the state of several items at once.
- Click on 1 or more items to select them. Then click on the
change statusbutton* (below the folder contents window). - This brings up a page called "Publishing process".
- Scroll down and, below where it says, "Change State," click the
publishoption, or theprivateoption. Then press thesavebutton.
- Scroll down and, below where it says, "Change State," click the
- Use this same
statetab toretractan item that's been published, or change it from private to visible or published.
local roles
Use the "local roles" tab to give other site members special roles or privileges within a given folder or even to specific documents.
